Suntree UMC Resources

Everything (almost) you ever wanted to know but didn't know who to ask!

This page has helpful information regarding our facilities, equipment and communications.  It answers questions about who, where, what, when and how you can make the best use of these resources.  If however you have questions and don't find an answer here please call the church office.

FACILITIES

Facility - Facility forms are needed to request room space for any event or meeting held at the church. Please wait for a confirmation to your request before planning to use the space. These forms are available in the church office and online. The completed facility form provides essential information that helps with the operation of the facility. Your information also helps us provide for occupation and climate control, access to requested areas, safety and security of persons and property, and appropriate scheduling of staff. If you need to cancel or change your request date, please notify the church as soon as possible.  Please note - there may be a facility usage fee for groups, individuals, or for events that are not associated with SUMC.

For information on scheduling weddings click here  -  WEDDINGS

Childcare - Childcare is available during worship services for ages infant through three years.

Childcare can be made available for other ministry events by reservation only. Please make your childcare requests at least one week in advance via email to: childcare@suntreeumc.org or use the form available outside the nursery.  Our policy dictates a minimum of two (2) screened adults for a minimum of two (2) hours be present for any childcare request made. Childcare is funded through our operating budget for church sponsored activities. It is the responsibility of those requesting childcare to contact the Childcare Coordinator regarding date, time, ages, number of children, and any cancellations. If for any reason your event is cancelled, it is important to notify the childcare coordinator at least 24 hours before the scheduled event.

Sound - Please indicate on your facility request form if your event will need sound, light, video, etc. Once your event is confirmed it is your responsibility to contact the head Sound Tech at this email address: soundtech@suntreeumc.org to make arrangements for your specific needs such as microphones, video, DVD, or PowerPoint. Based on your specific needs the presence of a tech may be required. Sound, lighting, and video equipment cannot leave the campus without permission of the Sound Technician.

Kitchen - Please request use of the kitchen in advance by using a Facility Use Request form. If it is your first time using the kitchen, we request that you schedule an orientation with the kitchen manager or maintenance department in order to use the equipment. All groups using the kitchen are responsible for cleaning which includes dishes, utensils, equipment, and laundry. Please inform the kitchen manager in advance if your group plans to use a large quantity of church paper and/or plastic products. Please immediately return all kitchen items, including water pitchers and coffee pots after use. A copy of the kitchen use policy is posted in the kitchen and available upon request from the church office.

Equipment and furniture - Please call the office if you wish to borrow tables, chairs, coffee pots, etc. in order to check availability and make arrangements for pickup and return of the items. A sign-out sheet is kept in the front office with the receptionist. Please fill it out before checking out items. Items should be returned clean and in good condition within 48 hours.

Tablecloths - Same as above. Please launder and fold tablecloths before returning them.

Libraries - We have a curriculum library with many options for small groups, bible study, and Sunday school. There are also videos to supplement various studies. The curriculum library is located in the Narthex across from the dining room. The checkout and return procedure is posted in the library. We also have a lending library located in the conference room (room 402) of the Sanctuary building. Please visit and browse through the more than 1500 books. Reference materials are also available but may not be checked out.

Facility Problems - Please help us maintain our facilities and equipment by reporting any problems including broken equipment, damage, or malfunction. A Maintenance Report is available in the office workroom and should be filled out and turned in A.S.A.P.

PARKING/VEHICLES

How do I . . .?

Reserve a Church Van for Ministry use - We require that you be a church member or regular attendee. Please call the facility coordinator as early as possible to check availability. To become an approved driver of our church vehicles, according to our insurance carrier, you must supply a valid Florida driver’s license, be between the ages of 25 & 65, and be briefed on the operation of the vehicles. If you are 65 or older you will need a medical doctor’s signature on health forms provided by the insurance company. These are available in the church office. Please make arrangements to pick up keys for vehicles or to complete paperwork during the week, 8-4:30.

Parking Ministry - Our parking ministry is made up of dedicated volunteers, young and old, men and women who are willing to serve in any type of weather. Here are some tips to make your visit safer for everyone:

bullet

Follow traffic routes as indicated by the orange cones.

bullet

Use turn signals to indicate to the parking ushers which direction you need to go.

bullet

Parents, please watch your children closely. You may want to hold their hand while in the parking areas.

bullet

Should you need assistance with a flat tire, dead battery, or you aren’t able to locate your car, just look for help from someone wearing an orange traffic vest.

bullet

For easy and safe exit use Pinehurst to go south on Wickham.

Campus Transportation Assistance - We have supplemented our parking ministry with golf carts and drivers to help those who are in need of assistance getting to and from their cars.

Special Note - We thank you for being patient and understanding with our volunteers. While we try to allow everyone to park where they want, in order to ensure safety for everyone, there may be instances when it just isn’t possible.
